Engineer Shift Scheduling & Assignment

Easily manage your recording studio staff with PunchIn's engineer shift scheduling and automatic assignment features.

Managing a roster of house engineers, freelancers, and assistants can be a complex puzzle. PunchIn simplifies staff management with powerful Engineer Shift Scheduling & Assignment tools designed specifically for the unique workflow of recording studios.

Automate Your Staff Roster

Say goodbye to messy spreadsheets and endless group chats. PunchIn provides a dedicated interface for managing who is working, when they are working, and what rooms they are qualified to operate.

Flexible Assignment Options

  • Client Preference: Allow returning clients to request their favorite engineer from a drop-down menu during booking.
  • Auto-Routing: Let PunchIn automatically assign the engineer who is currently on shift for the selected time and room.
  • Per-Room Coverage: Shifts are scheduled per room, so an engineer is only ever offered for the rooms you have actually put them on.

Empower Your Team

When a new session is booked, the assigned engineer receives an email with the details that matter: the client's name, the room, the date and time in your studio's timezone, and any notes the client left with the booking. This ensures your team is prepared before the client walks through the door.

Prevent Overbooking

PunchIn prevents double-booking of your staff. If an engineer is booked for a session in Studio A, they are removed from availability for Studio B for that window, and the rule is enforced when the booking is created — not merely hidden in the interface.

How to Set Up Shifts

Shifts live under On-Call Shifts in your dashboard, laid out on a calendar:

  1. Pick the room the shift covers and the engineer working it.
  2. Choose the start and end time — these are wall-clock times in your studio's timezone.
  3. For a regular rota, mark the shift as recurring and tick the days of the week it runs on. Give it a start date, and an end date only if the arrangement is temporary; leave the end date empty for an open-ended rota.
  4. For one-off cover, add a shift for a single date instead.

Once a rota exists you can change your mind at the level you need. Editing or deleting a single occurrence leaves the rest of the series intact — useful when one engineer covers one Thursday. Changing the series updates it from that point forward, so past sessions keep the engineer who actually worked them.

Clients only ever see times where somebody is genuinely on shift for that room: your booking page builds its availability from these rotas, so an engineer with no shift on a given day is never offered and never auto-assigned.
